This policy explains how Paragon Executive Travel Limited (“we”, “us”, “our”) collects and uses your personal data when you visit our website, enquire, or book our chauffeur services. We are the Data Controller under UK GDPR and the Data Protection Act 2018.

3) Personal data we collect

Identity & contact: name, email, phone, company, job title, billing/booking contacts.
Journey & booking: pick-up/drop-off addresses, dates/times, flight numbers, passenger names, luggage/child seats, notes.
Account & payment: invoices, payment status/method (we do not store full card numbers; card data is handled by our PCI-compliant payment processor).
Communications: emails, calls (time/date and summaries), web forms, chat, feedback.
Device & usage: IP address, browser, pages viewed, referral source, cookie IDs.
Operational (drivers/vehicles): driver credentials, vehicle identifiers, GPS/telematics; CCTV/dashcam where used.
Sensitive data: We don’t aim to collect special category data. If you share health or accessibility needs, we use them only to provide the service, and with consent where required.

  • From third-party bookers (e.g., your PA or employer) acting on your behalf.

  • Automatically via cookies/analytics when you use our site or booking tools.

Provide and manage bookings (contract) — take reservations, dispatch vehicles, send updates, issue invoices.
Customer support & service messages (contract/legitimate interests).
Payments, accounts & legal compliance (legal obligation/contract) — accounting, tax, audit, insurance.
Safety, security & fraud prevention (legitimate interests/legal obligation).
Marketing (optional) (consent; legitimate interests for B2B) — you can opt out anytime.

8) GPS, telematics & CCTV/dashcams

Used for safety, service quality, and dispute resolution. Data is retained for a limited period and accessed only by authorised personnel unless needed for investigations or legal obligations.

 
9) International transfers

Where providers process data outside the UK, we use safeguards such as the UK IDTA or Standard Contractual Clauses plus additional security.

 
10) Retention
  • Booking & invoice records: up to 6 years

  • Support correspondence: up to 3 years

  • Marketing preferences: until you opt out/withdraw consent

  • Telematics/CCTV/dashcam: typically 30–90 days unless needed longer

 
11) Marketing choices

Non-marketing service messages may be sent about bookings. Marketing emails/SMS are based on consent (or soft opt-in where lawful). Unsubscribe anytime via the link or by contacting us.

 
12) Your UK GDPR rights

Access, rectification, erasure, restriction, objection (including profiling), portability, and withdrawal of consent. Contact us (Section 16). We respond within one month.

 
13) Children

Not directed to children under 16. If a child has provided data, contact us to delete it.

 
14) Security

We use administrative, technical, and organisational measures (role-based access, encryption in transit, secure hosting, monitoring). No method is 100% secure, but we maintain high standards.

Third-party booking/payment tools and links operate under their own privacy policies.
